Pesotum Village Board of Trustees present audit report

The village of Pesotum Village Board of Trustees met Oct. 5 to present the preliminary audit report.

VILLAGE BOARD OF TRUSTEES REGULAR MEETING October 5, 2016 6:30 PM MINUTES

1. Call to Order – President Smitley called the meeting to order at 6:30 pm.

2. Pledge of Allegiance and Roll Call – Trustees present were Beth Wise, Katie Wilson, Chaz McCrone, Joyce Ragle and Dianne Reed. Trustee Tim Schultz was absent. Also present were President Cheryl Smitley, Treasurer Melanie Schultz, Attorney Elizabeth Megli and Clerk Mary Jo Harvey.

3. Presentations/Comments from the General Public - none

4. Routine Matters

4.1. Approval of Regular Board Meeting Minutes September 7, 2016 – Trustee Reed moved to approve the board meeting minutes of September 7, 2016. Trustee McCrone seconded. Motion approved unanimously.

4.2. Approval of Financial Report for the Month Ended, September 30, 2016. Trustee Ragle Moved to approve the financial report for the month ended September 30, 2016. Trustee Wilson seconded. Motion approved unanimously.

4.3. Bill Payment

4.3.1. Approval of Monthly Bills for Payment - Trustee Reed moved to approve the payment of the bills. Trustee McCrone seconded. Motion approved unanimously.

4.3.2. Approval of Bills Received after Treasurer’s Report - Trustee Wise moved to pay the post office box rental in the amount of $110 and to pay the auditor, Feller and Kuester, CPAs, in the amount of $3,600. Trustee Wilson seconded. Motion approved unanimously.

5. Reports

5.1. Village Clerk, Mary Jo Harvey – Clerk Harvey reported that the April 4, 2017, Consolidated Election information and forms are available online at champaigncountyclerk.org. The local caucus date is December 5, with times to be determined. The Village of Pesotum will have the following offices open for election:

Village President, 4 years – Full Term One to be elected Village Trustee, 4 Years – Full Term Three to be elected Village Trustee, 2 Year Unexpired Term One to be elected

5.2. Village Maintenance, Fred Smitley - Maintenance staff has scheduled repair of the gutter on the back of the Village Hall building. Bathrooms at Hartman Park will be winterized soon and closed by the end of October.

5.3. Village Building Inspector, Lyle Reed - No activity this month.

5.4. ESDA Coordinator, Rob Russian - Recent storm rotation over the Village of Pesotum was not seen by storm spotters, and no siren was sounded. Rob Russian attended an EMA meeting which outlined roles of elected and appointed officials, and the information is to be distributed to village officials. In addition, a Dunn & Bradstreet number is needed for the village to be considered for State and Federal Assistance in the event of a disaster.

7.1. Preliminary Audit Report - Presentation by Neal Kuester, of Feller and Kuester, CPAs

LLP – Mr. Neal Kuester presented the auditor’s report, statements and management letter. Recommendations were given regarding segregated duties, continuation of the village investment policy, publishing the auditor’s report on the village website, and establishing pledge securities.

8. Presentations/Comments from the Board – The Halloween Party will take place at the Community Building. Trick or Treat hours will be from 5:30-7:30 pm on October 31.
